  • 1.  Managing/Integrating Taxable income data from Carta to W2 source of truth

    Hello,

    I'm wondering if any other users have encountered a similar challenge, or devised a solution they are happy with, for the following: 

    There are several types of transactions that can process on Carta that, once effected, incur taxable ordinary income to an individual (for example, the vesting of an RSU, the grant of an RSA, etc.). After being earned, the ordinary income needs to be recorded on the individual's W2. We currently run a process in which this info is getting manually communicated to payroll by a Carta admin, who then records the income in the HRIS/payroll system which ultimately issues the W2. However, my concern is that this process has limited robustness and zero scalability, particularly considering how important it is that this data be perfect (i.e. it relies on someone to recognize that a taxable event has occurred in Carta, and to remember to manually let payroll know to incorporate the relevant data into the system of record). 

    I understand that one option could be to run a "true up" report at the end of the year, however I don't really see that approach as viable/acceptable as it could potentially result in under-withholding for the individuals (as withholding amounts will not be adjusted in response to the additional earned income going forward from when it is earned). 

    Theoretical solutions could be an integration with the HRIS (which Carta has told me does not exist/cannot accomplish this), or some sort of very specific, recurring report that can be sent to payroll on a fixed cadence (i.e. a list of the taxable income events over the pay period's interval, however I'm not seeing something that can cleanly do this).

    Have had similar experience with my organization. We do the true-up approach. And every year have a couple of employee stakeholders with too much SS withheld. Following this thread in hopes another Carta customer has found better solution.
